Role Overview
As an Executive Assistant at Travelstaytion, you'll be the trusted right hand to the CEO, ensuring seamless coordination of executive activities and acting as a key liaison across internal and external stakeholders. This is a high-impact role requiring discretion, agility, and exceptional organizational skills.
Executive Support
- Manage the CEO's calendar, appointments, and travel arrangements
- Prepare meeting agendas, presentations, and reports
- Handle confidential correspondence and documentation with professionalism
Communication & Coordination
- Act as the first point of contact for internal and external communications
- Liaise with senior leadership, partners, and clients on behalf of the CEO
- Coordinate cross-functional meetings and follow-ups
Strategic Assistance
- Support the CEO in project tracking, research, and decision-making
- Assist in drafting communications, speeches, and strategic documents
- Contribute to special initiatives and company events
Office Management (Greece & UK)
- Oversee day-to-day administrative operations of the Greek and UK offices
- Ensure smooth functioning of office facilities, supplies, and vendor relationships
- Coordinate with IT, finance, and HR teams to support local office needs
- Organize team meetings, internal events, and office-wide communications
- Maintain records, manage filing systems, and ensure compliance with company policies
- Support onboarding logistics and workspace setup for new hires
Requirements
- Proven experience as a Personal or Executive Assistant, ideally in a fast-paced international environment
- Fluent in English and Greek (spoken and written)
- Strong proficiency in Microsoft Office and digital collaboration tools
- Excellent time management, multitasking, and interpersonal skills
- High level of discretion, integrity, and emotional intelligence
- Experience in office management or administrative coordination across multiple locations is a plus
