We are seeking a highly organized, proactive, and detail-oriented
Executive Assistant
. The ideal candidate will act as the right hand to the CEO, ensuring smooth day-to-day operations, coordinating schedules, managing communication, and handling confidential information with the utmost discretion and at the same time act as Secretary of the company's Executive Committee and its members.

Key Responsibilities:

  • Manage the daily calendar of the CEO, including scheduling meetings, prioritizing tasks, and resolving conflicts, with optimal time management and prioritization.
  • Prepare meeting materials, agendas, and presentations and assist with follow-up actions and communications as needed for the CEO and the Executive Committee.
  • Prepare, edit, and proofread reports, email, correspondence, presentations.
  • Manage travel arrangements, including international trips, visas, accommodation and itinerary planning, with the ability to adapt plans on the fly due to changing circumstances.
  • Serve as a liaison between executives, staff, clients, and external partners.
  • Manage various projects, coordinating with other departments, and ensuring follow-up on key initiatives.
  • Coordinate with HR, Finance, Legal and other departments on behalf of the CEO and the Executive Committee when needed.
  • Maintain confidentiality and discretion in handling sensitive information and documents.

Qualifications:

  • At least 5 years of experience as a Personal or Executive Assistant or in a similar role supporting senior/C-Level executives.
  • Bachelor's degree in business administration, Communications, or a related field
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication skills in both Greek and English.
  • Proficiency in 365 Microsoft Office Suite and adaptability to new technologies and a willingness to leverage digital tools for increased efficiency.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • A proactive mindset with the ability to anticipate needs and take initiative.
  • High attention to detail and commitment to quality.
  • Strong analytical and problem-solving skills.
