Administrative Support Specialist
">We are seeking a highly organized and reliable individual to support the administrative needs of our construction projects.
This role plays a key role in ensuring smooth documentation, coordination, and internal communication across departments and project teams.
The Administrative Support Specialist will provide day-to-day administrative support to the project and site management teams, helping maintain accurate records, track documentation, and facilitate internal workflows.
Key Responsibilities
- Handle general administrative tasks, including document preparation, filing, scanning, and archiving.
- Support the preparation and coordination of reports, forms, and correspondence related to project activities.
- Maintain accurate records of contracts, supplier documentation, timesheets, delivery notes, and purchase orders.
- Assist in the management of procurement and logistics documents in coordination with relevant departments.
- Monitor and update internal databases and spreadsheets related to project progress and inventory.
- Liaise with site teams and suppliers to ensure proper documentation flow and follow-up.
- Support travel arrangements, meeting scheduling, and internal communication.
- Assist in the preparation of compliance documentation for audits, inspections, and internal reviews.
- Ensure all administrative processes are in line with internal policies and regulatory requirements.
- Provide ad-hoc support to project management and finance teams when needed.
Requirements
Professional Experience
- Minimum of 2–4 years of experience in an administrative, back office, or project support role.
- Prior experience in construction, engineering, or industrial environments will be considered an asset.
Academic Background & Qualifications
- Vocational training or Bachelor's degree in Business Administration, Office Management, or a related field.
- Familiarity with document control and ERP systems will be an advantage.
Languages & Technical Capabilities
- Fluent in Greek and English (written and spoken).
- Additional knowledge of Italian will be an advantage.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Comfortable working with digital document systems and cloud-based platforms.

- Strong communication and teamwork abilities, ideally in a multinational environment.
- High sense of responsibility, integrity, and confidentiality.
- Ability to multitask, prioritize, and work under strict deadlines.
