We are seeking an organized, detail-oriented, and solution-driven Operations Project Coordinator to join our team. This role will be crucial in the coordination and execution of strategic and operational projects within New Ventures & Corporate Services, a team responsible for onboarding new business and driving cross-company projects and initiatives.

The ideal candidate will have a strong sense of ownership, an ability to collaborate across diverse internal teams, clients, and vendors, and a balance of structure and creativity. You'll act as the orchestrator of multi-team collaboration, ensuring the timely involvement of stakeholders based on project requirements while adapting as needed.

A Day in the Life of a Operations Project Coordinator will include: 

  • Plan, coordinate, and manage end-to-end delivery of operational projects and initiatives across Qualco Group companies;
  • Design and maintain clear project plans with realistic timelines, deliverables, and stakeholder responsibilities, considering interdependencies and team availability;
  • Facilitate structured communication with internal and external stakeholders throughout the project lifecycle;
  • Build and foster strong relationships with vendors, clients, and partners to ensure successful collaboration;
  • Identify potential risks, dependencies, and resource gaps, and propose mitigation strategies;
  • Develop reports and presentations throughout the project lifecycle to communicate project status, challenges, and solutions to stakeholders;
  • Maintain comprehensive project documentation, status updates, and KPIs for senior management reporting;
  • Facilitate structured handovers between project phases, ensuring alignment and continuity among involved teams;
  • Support process improvements and standardization efforts across operational functions, capturing lessons learned and best practices;
  • Assist in vendor management, SLA tracking, and reporting on outsourced services when applicable;
  • Ensuring that all activities and duties are carried out in full compliance with regulatory requirements and supporting the continued implementation of the Group Anti-Bribery and Corruption Policy.

Requirements

  • 4-5 years of project management or operational coordination experience, preferably with an operations or business process focus;
  • Bachelor's degree of Business Administration, Operations Management, Economics, or a related field;
  • Proven ability to manage multiple projects simultaneously with strong prioritization and time management skills;
  • Strong organizational skills and attention to detail — able to keep many moving parts aligned without losing sight of the big picture;
  • Excellent interpersonal and stakeholder management abilities, especially across diverse audiences;
  • Strong communication skills (written and verbal) — able to structure updates, flag issues diplomatically, and manage expectations;
  • High degree of ownership and accountability; able to work independently while keeping stakeholders aligned;
  • Analytical mindset with a problem-solving attitude and proactive risk management;
  • Fluent in English (written and spoken);
  • Comfortable with project management tools, reporting systems, and Microsoft Office Suite (especially Excel, Word, PowerPoint).


Nice to have:

  • Project management certification (e.g., PMP, CAPM);
  • Master's degree (MBA, MSc in Project Management or Operations Management;
  • Prior exposure to onboarding processes, audit processes, SLA monitoring, and business continuity planning (BCP) will be considered a plus.
