
Operations Coordinator

In your position as Operations Coordinator your main objective will be to assist the designated Senior Travel Designers in their day-to-day tasks related to their work process. You will report to the Operations Manager.
Key Responsibilities:
- Work together with the Senior Travel Designers taking over travel itineraries after their status has switched from Request to Booking. You will be assisting 2 Senior Travel Designers.
- Ensure collection of all the necessary information of guests either by sourcing them from the relevant email correspondence or by directly emailing the agents (i.e. full names and ages of all guests, passport copies, international and/ or domestic flights, preferred language for tours, child-friendly guides for tours where requested, approximate no. of suitcases for ground transportation, allergies and dietary restrictions, direct contact information for clients, e.a.), prepare and send the Pre-Arrival form to the hotels.
- Stay up to date with the relevant email correspondence for each booking and make changes and adjustments when requested, reaching out directly to the relevant suppliers.
- Prepare Confirmation Documents on AXUS as soon as as the agents/ clients are ready to book, even if only the accommodation part of the itinerary has been confirmed.
- Amend the CRM (Softone) booking entries ensuring all necessary data is filled in.
- Follow up with the Senior Travel Designers on a daily basis in order to keep track of all pending issues.
- Keep lists of active bookings, add on (Outlook or other) calendar guests' arrivals, accommodation and all services to ensure an accurate overview of their travel itineraries.
- Maintain good relationships with the Seez partners and suppliers. You will be in direct contact with them on emails and calls to confirm availability and make bookings for tours, activities, ground transportation, domestic flights, ferry tickets.
- Follow all procedures to guarantee a flawless execution of the clients' itinerary by monitoring their arrival, booked services and staying on call while clients on the ground to deal with any issues that might arise.
Requirements
In order to qualify for this role, we would expect you to have:
- University degree in Tourism and Hospitality, Marketing or other Sales related degree
- Previous experience in a similar or relevant working position would be considered an asset
- Excellent written and verbal command of English language
- Knowledge of another foreign language (i.e. French, Spanish, Portuguese, etc.) would be an advantage
- Proficiency in MS Office applications
- Knowledge of CRM software
- Numerical reasoning skills
- Very good presentation and communication skills to promote the Seez services
- Be comfortable with working individually, but also as member of a team
- Ability to organize and manage your time efficiently
