The
Coordination Office Administrator
is responsible for ensuring the smooth and efficient day-to-day operation of the office, including oversight of shared spaces and coordination of administrative support staff. This role is pivotal in facilitating internal organization, optimizing workflows, and supporting key business operations.
Responsibilities:
- Ensure the smooth functioning and upkeep of all office spaces, including meeting rooms, kitchen, and shared workspaces;
- Address operational issues related to the physical office environment, excluding matters handled by individual departments or IT support;
- Schedule and supervise daily tasks for Assistants and Secretaries;
Coordinate:
Phone calls, partner communications, and external contacts;
- Meeting scheduling and calendar management;
- Document filing and archiving (physical and electronic);
- Customer support and front-desk assistance;
- Orders for marketing materials and promotional items;
- Office supplies and consumables;
Arrangements and confirmations for meetings, travel, interviews, and training sessions;
Assist in tasks related to the development, maintenance, and support of software products or IT infrastructure;
- Contribute to the coordination and execution of internal or client projects undertaken by the company;
Support the company's internal operational efficiency by executing tasks aligned with the role's purpose and broader business goals;
Ensure that all activities and duties are carried out in full compliance with regulatory requirements and supporting the continued implementation of the Group Anti-Bribery and Corruption Policy.
Requirements
- Proven experience in office administration or coordination roles;
- Excellent organizational and communication skills;
- Team coordination and multitasking abilities;
- Proficient in MS Office and task management tools;
- Good command of the English language, both written and verbal;
- Problem-solving mindset and proactive attitude.
