Seven Sigma is dynamic boutique innovation consulting firm based in Athens, Greece. We support private and public sector organizations in designing, funding, and delivering innovation – from R&D and investment projects to policy and capability-building initiatives.

To support our growth, we are looking for an Administrative & Office Assistant to take ownership of day-to-day administration and keep our office and projects running smoothly.

Role purpose

In this role, you will be the central point of coordination for the firm's daily operations. You will support partners and consultants with office administration, proposal preparation, suppliers and procurement, and basic financial monitoring.

Key responsibilities

  • Office administration (manage day-to-day office operations, coordinate calendars and meetings, maintain digital and physical filing systems, contact lists and simple databases).
  • Proposal drafting & project documentation support (assist in preparing proposals and tender responses, collect and organize required documentation).
  • Procurement & suppliers (support the management of office supplies, services and subscriptions, liaise with suppliers for orders, deliveries and basic contract/terms follow-up).
  • Accounting & financial monitoring support) collect and organize invoices, receipts and other financial documents, record basic expense and payment data in tracking files, coordinate with the external accounting office, support simple monitoring of project-related budgets and expenses).

Requirements

  • Bachelor's degree required (preferably in Business Administration, Economics, Accounting/Finance, or Engineering). Master's degree will be considered a plus.
  • Experience in an administrative / office support / project support role will be appreciated (around 3 years is a plus), but motivated candidates with less experience are also encouraged to apply.
  • Excellent command of Greek and English, both written and spoken.
  • Very good working knowledge of Office 365 (especially Outlook, Word, Excel, PowerPoint).
  • Comfort with digital filing, shared folders and basic online tools (e.g. Teams, OneDrive, cloud storage).

Key soft skills (must-have)

  • Strong organization and time management skills; ability to handle multiple tasks and deadlines.
  • Attention to detail and reliability in handling documents, numbers and formal requirements.
  • Professionalism, confidentiality and discretion in dealing with company and client information.
  • Proactive and solution-oriented attitude; willingness to "own" tasks end-to-end.
  • Strong communication skills and a collaborative mindset.

Nice-to-have

  • Experience in a consulting firm, law firm, accounting office or similar professional services environment.
  • Exposure to EU or national funding programs (e.g. NSRF/ΕΣΠΑ, R&D and innovation schemes).
  • Basic familiarity with accounting concepts and financial documentation.
