Description

ICAP Employment Solutions, on behalf of a client, a Greek traditional company in the Shipping Market with experience since 1981, situated in the southern suburbs, is seeking an "Administration Officer".

If you are a committed, discreet and eager team member with strong communication and interpersonal skills as well as computer literacy to support our Spare parts Department, this role is for you

Requirements

  • Maintain and organize files, records, and documentation in both physical and digital formats.
  • Monitor and follow up on daily operational activities to ensure smooth workflow.
  • Prepare and compile reports, presentations, and correspondence as required.
  • Accurately input client inquiries and supplier quotations into the software system.
  • Manage office supplies and coordinate procurement of goods and services.
  • Liaise with clients, suppliers, and internal teams to ensure timely communication and task completion.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist in the preparation of contracts, agreements, and other formal documents.
  • Support internal audits and ensure compliance with company policies and procedures.
  • Provide general administrative support to management and project teams.

Qualifications:

  • Bachelor's degree from College or University in Maritime Studies.
  • 2-year work experience in an administrative role in the shipping industry.
  • Excellent command of English language.
  • Proficiency in Microsoft office suite (World, Excel, Power point).

Personal Skills:

Strong attention to detail, analytical thinking and time management.

Effective communicative and interpersonal skills with a team- playing spirit.

Commitment to goal achievement and positive results.

Additional foreign language and Experience in shipping industry will be considered an asset.
