MAS Europe is seeking a well-organized and service-oriented Workshop Sales Administrator to support the daily operations of our workshop, customer requests, and order management processes. This role requires strong coordination skills, accurate handling of product flows, and effective communication with customers, suppliers, the warehouse, and the sales team.

Key Responsibilities

Workshop Support & Customer Communication

  • Handle incoming customer calls and emails, logging requests and ensuring they are routed promptly to the appropriate team.
  • Track and update customers on the status of workshop jobs, orders, and expected delivery times.
  • Coordinate with the technical team to provide basic information or escalate technical matters when needed.
  • Manage service tickets, organize the workshop schedule, and ensure customers are informed about availability and timelines.

Materials Handling & Product Flow

  • Enter and monitor equipment orders in the ERP system (SoftOne).
  • Check and confirm product availability, lead times, and stock levels, ensuring smooth material flow.
  • Collaborate closely with the warehouse for incoming goods, deliveries, and preparation of materials required by the workshop.
  • Prepare and manage supporting documents such as offers, order confirmations, and delivery notes.

Sales & Internal Coordination

  • Work jointly with Sales Team to maintain accurate customer information and internal workflow alignment.
  • Assist in preparing quotes and basic technical/commercial documentation (based on guidance from engineers).
  • Act as a key liaison among the workshop, sales team, and logistics to ensure high-quality customer service.
Requirements
  • 1–3 years of experience in workshop coordination, sales administration, or similar administrative role.
  • Educational background in mechanical, electrical, or automation engineering (or relevant technical field) will be an asset.
  • Strong proficiency in Excel (data tables, lookups) and experience with ERP systems — SoftOne is a strong plus.
  • Excellent communication skills in English and Greek.
  • Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
