Job Summary:

We are seeking a highly organized and proactive
Administrative Sales Assistant
to support our real estate sales team. This role is responsible for coordinating administrative tasks, assisting with sales documentation, maintaining client databases, and ensuring the smooth day-to-day operations of the sales department. The ideal candidate has strong communication skills, attention to detail, and the ability to thrive in a fast-paced real estate environment.

Key Responsibilities:

Administrative Support

  • Maintain and update property listings, marketing materials, and sales documentation.
  • Handle office administrative tasks including scheduling meetings, managing calendars, and preparing reports.
  • Prepare and process real estate forms, and agreements in accordance with company policies.
  • Coordinate open house events, property viewings, and meetings between clients and agents.

Sales Support

  • Assist sales agents in managing leads, follow-ups, and client communications.
  • Maintain accurate and up-to-date CRM and client databases.
  • Drafting Power Point presentations and sales reports for internal and client use.
  • Track sales activities and performance metrics to support the sales team.

Customer Relationship Management

  • Respond to client inquiries promptly and professionally via phone, email, or in person.
  • Provide information about property listings and assist with client onboarding.
  • Support the resolution of customer issues or escalate concerns to senior sales staff.

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, Marketing, or related field (preferred).
  • 1-2 years of relevant working experience in a sales support or administrative role, preferably in real estate or a similar industry will be considered a plus, without being necessary though.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask, problem solving mentality & team player.
