Export Coordinator
to join our dynamic team and help manage our growing worldwide operations. In this vital role within our Exports department, you will be responsible for the seamless handling of international orders from offer to delivery, ensuring accuracy, compliance, and outstanding customer service.
Responsibilities
As our Export Coordinator, you will:
- Manage the end-to-end export order process, from offer preparation to final delivery.
- Issue invoices and credit notes, and monitor payment fulfillment according to agreed terms.
- Assist in generating quotations, preparing product catalogs, and organizing sample shipments.
- Support the Sales and Export teams with administrative tasks including filing, scanning, and report formatting.
- Prepare and process export documentation such as commercial invoices, packing lists, and export declarations.
- Coordinate and manage freight forwarders by arranging bookings, trucking, and collecting essential shipment information.
- Collaborate closely with internal departments - including Commercial Teams, Production Planning, Accounting, and Warehouse - to ensure smooth and timely operations.
- Provide excellent customer service by addressing inquiries and directing feedback to the appropriate departments.
- Respond to routine customer inquiries or escalate complex issues to the Export Manager.
- Proactively identify and resolve documentation or shipment-related issues, finding effective solutions for special requirements.
Qualifications
- Minimum of three (3) years of relevant work experience in a well-organized, structured department.
- Bachelor's or Diplomat degree in Management, Logistics or a related field.
- Proficiency in ERP systems and MS Office Suite (Word, Excel, Outlook).
- Excellent command of the English language (written and spoken).
- Strong customer orientation with exceptional communication and interpersonal skills.
- Proven ability to manage multiple tasks efficiently, maintain accuracy, and meet tight deadlines under pressure.
- Highly organized, detail-oriented, and a strong team player.
