Job Purpose:

To support the logistics team in coordinating and executing day-to-day shipping, inventory, and transportation activities, ensuring timely and accurate delivery of marine spare parts.

Key Responsibilities:

Data entry: inserts new orders into operational system

· Sends confirmation email to supplier when new order emails are received

· Communicates with suppliers to gather all necessary info needed per PO and provides them with export docs when required

· Arranges collections of orders

· Informs agents of new orders

· Follows up all orders daily until on stock at our warehouses

· Keeps all operational system's order fields fully updated including:

Ø Uploads all orders' documents

Ø Inserts charges

· Keeps operational system updated with daily stock reports received from our agents

· Communicates with warehouse to correct mishandled/incorrect entries if needed

· Issues weekly order lists to cross check that all orders are updated correctly

· Checks long stored orders

· Assists with training if required

· Keeps their team superiors informed of:

Ø Any delayed shipment

Ø Any problem with agent/warehouse/ supplier

Ø Any non-profitable collections

· Carries out the routine tasks/operations according to the company's policy and procedures of Integrated Management System

· Reports any Environmental accident or near miss to the Quality Executive

· Contributes to continuous improvement with suggestions for environmental and quality performance (i.e., improved procedures, new material, or equipment etc.)

Required Qualifications:

  • High school diploma or equivalent; associate degree or relevant certification preferred
  • 0-2 years of experience in logistics, supply chain, or related fields preferred
  • Basic understanding of logistics processes and terminology
  • Proficiency with Microsoft Office and willingness to learn ERP/logistics software
  • Strong organizational and communication skills
