Position Summary:
We are seeking a reliable, detail-oriented, and proactive Real Estate Back Office Coordinator to support our Sales Department. This role will serve as the administrative backbone of the sales process, while also functioning as a key liaison between the Greek sales team and our Chinese division.
The ideal candidate will manage all administrative workflows, ensure timely processing of contracts and client documentation, and maintain constant alignment between the Sales, Marketing, and Legal teams.
Key Responsibilities:
- Prepare, manage, and archive all sales-related documents including contracts, agreements, property records, and client files.
- Coordinate with the sales team to track client communication, follow-ups, appointments, and document submission.
- Coordinate daily with both the Greek Sales team and the Chinese team, ensuring consistent, professional, and timely communication.
- Maintain and update the CRM system with accurate client data, sales progress, and status reports.
- Handle calculations, payment schedules, and transaction-related figures with accuracy and attention to detail.
- Support reporting and performance tracking through dashboards, KPI updates, and lead monitoring.
- Liaise with the Marketing team to ensure consistency in listings, brochures, and sales materials.
- Assist with documentation and coordination for international clients, including Golden Visa-related processes.
- Respond to internal and client inquiries by phone or email in a professional and timely manner.
- Oversee post-sale documentation, satisfaction surveys, and final paperwork processing.
Qualifications & Requirements:
- Minimum 2–3 years of experience in a sales coordination, administrative, or back-office support role; experience in real estate or construction is a strong advantage.
- Excellent organizational skills and the ability to manage multiple tasks and deadlines with precision.
- Strong numerical skills and confidence in handling calculations, pricing, and payment data.
- High level of reliability, discretion, and professionalism.
- Fluency in English and Greek (written and spoken); additional languages (e.g., Chinese, Russian) are a plus.
- Proficiency in CRM software, Microsoft Office Suite (especially Excel), and digital file management.
- Familiarity with real estate transactions, sales processes, and compliance requirements is highly desirable.
- Strong interpersonal skills and a collaborative, team-oriented approach.
