We are seeking a highly organized and proactive office manager to manage the day-to-day operations of the workspace in Athens, Greece. This role requires a dynamic individual with exceptional communication skills in both English and Greek, strong attention to detail, and a proactive approach to problem-solving What you will be doing :
  • Oversee the smooth running of the office, ensuring a clean, organized, and efficient work environment.
  • Manage relationships with vendors, suppliers, and service providers, negotiating contracts and ensuring quality service delivery.
  • Order and maintain office supplies, ensuring adequate stock levels. Act as workplace site operations lead and run workplace programs to ensure a seamless day-to-day experience (e.g. food, snacks, mail & packages, etc.).
  • Collaborate with other teams to implement initiatives, processes, tools, policies and playbooks related to workplace operations and programs.
  • Proactively build relationships with leadership and employees, working with manager to use data to understand the habits/needs of our local employees.
  • Serve as the primary point of contact for the building management.
  • Support in the budget tracking for the office.
  • Work with the HR team to coordinate internal events including office parties, company all hands, and industry meetups.
  • Ensure compliance with health and safety regulations.
We're looking for someone who:
  • Has proven experience at least 5 years as an Office Manager.
  • Has excellent communication and interpersonal skills.
  • Has the ability to strategize and solve problems effectively.
  • Has the experience working in offices and workplace experience for a hybrid workforce, delivering creative solutions to engage a distributed workforce.
  • Is data-driven with a mindset of continual improvement.
  • Demonstrates success in building strong relationships cross-functionally.
  • Is a strong communicator, keeping teams and stakeholders informed and up to date.
  • Has passion for best-in-class workplace experience and customer service.
  • Is fluent in both English and Greek. Excellent written and verbal communication skills with the ability to interact effectively with individuals at all levels.
  • Has exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Is proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Possess a professional demeanor, a positive attitude, and the ability to work effectively both independently and as part of a team.
