HIRING - OFFICE MANAGER

Location: Greece

Are you an organized, proactive, and people-focused professional?

We're looking for an Office Manager to ensure our Greece office runs smoothly, supporting all departments while managing facilities, vendors, HR onboarding, and business travel.

ROLE OVERVIEW:

The Office Manager oversees day-to-day administrative functions, ensures a safe and efficient office environment, and provides support across all departments. You will serve as the primary liaison for office services, vendor management, facilities, travel coordination, and HR onboarding support.

KEY RESPONSIBILITIES:

Office Administration

- Serve as the main point of contact for office management duties including maintenance, mailing, supplies, office shopping, and general errands

- Schedule and coordinate meetings, appointments, and office facility use

- Organize office layout and ensure stationery and equipment are replenished

- Maintain office condition and coordinate necessary repairs

POLICY & PROCEDURES COORDINATION:

- Collaborate with HR to update, implement, and maintain office policies

- Organize office operations and procedures for efficiency and compliance

FINANCIAL & VENDOR MANAGEMENT:

- Ensure all office-related invoices and expenses are processed and paid on time

- Manage contracts and negotiate pricing with vendors, service providers, and lease partners

- Manage the office G&A budget with accurate cost tracking and reporting

IT & FACILITIES COORDINATION:

- Coordinate with IT for hardware, software, and office equipment setup and maintenance

- Liaise with facility vendors including cleaning, catering, and security services

PEOPLE SUPPORT & ONBOARDING:

- Provide administrative support to employees and visitors

- Assist HR with onboarding, workspace setup, access cards, and equipment

- Address employee queries regarding office needs, travel, stationery, and hardware

TRAVEL, EVENTS & ACTIVITIES:

- Assist with business travel arrangements as needed

- Plan and organize in-house and off-site events such as celebrations, conferences, and corporate gatherings

REQUIRED QUALIFICATIONS & SKILLS:

- Bachelor's degree in Business Administration, Management, HR, or related field (preferred)

- Proven experience as an Office Manager, Administrative Manager, or Executive Assistant

- Experience in vendor coordination, procurement, or facility management is an advantage

- Excellent organizational, multitasking, and problem-solving skills

- Strong communication, interpersonal, and customer service skills

- Ability to handle confidential information professionally
