Sales & Customer Service Assistant

. You will be responsible for activities across both customer service and sales functions. You will support customers directly to ensure their orders are managed and processed correctly, resolving any issues and responding to enquiries promptly. Additionally, you will assist the sales team with administrative tasks.

Main responsibilities
:

Customer Service

• Respond to customer enquiries promptly, resolving all issues to ensure full customer satisfaction.
• Verify and enter customer order details into the system, including those received via the CCS portal. This information will include volumes and allocation, credit limits, prices, invoices, shipment instructions, and feasibility of delivery on the requested date.
• Send necessary documents to customers, including order confirmations, shipping documents, delivery information, and any modifications, ensuring regular communication on order status.
• Manage credit and debit note requests, as well as returns and redirected orders.
• Receive and follow up on customer complaints.
• Check costs for demurrage or deviations from time slots and follow up with the customer.
• Archive documents in line with company procedures and keep customer master data updated in company systems.

Sales Support

• Support the Sales and Finance departments in following up on invoicing processes and payments as required.
• Coordinate the forecasting and allocation of sales via designated systems, including verifying and correcting details entered by the sales team, confirming allocations and customer grades, and providing weekly feedback on sales versus allocation by sales representative.
• Run the monthly verification of invoices against agreed prices in accordance with company procedures.
• Act as a key SAP user, working with the wider team to ensure correct system usage, editing monthly raw sales data on behalf of the sales team, supporting master data implementation and its use by each user, ensuring commercial customer master data is regularly updated, and resolving any issues with order processing.
• Support the Area Manager with the budget process from an administrative perspective.
• Communicate the confirmed budget to all relevant functions.

Skills and experience required
:

• Significant experience in a sales support / customer service environment, ideally within the chemicals industry.
• Strong knowledge of SAP.
• Familiar with MS Office products, including Word, Excel & Outlook.
• Fluent level of Greek and English. Knowledge of Italian would be an advantage.
• Service-oriented attitude, proactive and keen to assist internal and external stakeholders.
• Highly adaptable and precise, with strong communication skills and the ability to work well as part of a team.
