ABOUT THE JOB

We are seeking a proactive and detail-driven Project Coordinator to join our Team. This hands-on role is ideal for someone who thrives in a fast-paced environment and is passionate about turning design visions into reality. You will work closely with the builder, architect, and suppliers to ensure every aspect of the project is seamlessly coordinated and executed. Your responsibilities will include administration, document control, compliance tracking, sourcing and reviewing quotes, and managing samples and materials to the highest standard whilst working closely with the Finance Manager.

With strong organizational skills, a sharp eye for detail, and a hands-on approach, you will help keep the project running smoothly, efficiently, and within budget, shaping a new benchmark in luxury from concept to completion.


WHAT YOU'LL BE RESPONSIBLE FOR:

Project Coordination & Stakeholder Management

  • Act as a central point of contact between the builder, architect, and suppliers.
  • Facilitate smooth communication, organize meetings, issue minutes, and track action items.

Documentation & Compliance

  • Manage and maintain all project documentation including permits, contracts, specifications, and approvals.
  • Ensure compliance with Greek building codes and regulatory requirements by submitting and tracking paperwork with authorities.

Procurement & Quotations

  • Source and liaise with suppliers, subcontractors, and consultants.
  • Request and evaluate quotations, prepare comparison reports with the Finance Team, and support procurement scheduling aligned with construction timelines.

Budget & Cost Monitoring

  • Assist in verifying supplier invoices, tracking budget variations, and supporting financial reporting in collaboration with the Finance Team.

Schedule & Milestone Tracking

  • Maintain the project schedule, monitor key deadlines and milestones, and help ensure timely delivery across all project phases.

Risk & Issue Management

  • Identify project risks and work with the Company Directors on mitigation strategies.
  • Support defect tracking and preparation of handover documentation.

Sample & Material Management

  • Pick, pack, and package samples accurately, ensuring presentation meets brand standards.
  • Verify all sample-related deliveries (consumables, transfers, etc.) against invoices within 1 day of receipt, sign/date, and submit to Finance Team.
  • Coordinate with couriers (e.g., DHL, UPS, others) for dispatch and tracking of samples.
  • Maintain office organization and cleanliness in line with company brand standards.

Ad-hoc tasks:

  • Be ready to help wherever needed.


WHO WE ARE LOOKING FOR?

  • Background in Administration, Office Management, Construction Management, or a related field
  • Minimum 2 years' experience in project coordination, construction administration, estimating, or a related role (ideally within residential or boutique commercial projects)
  • Proven ability to manage documentation, procurement, and compliance processes from pre-construction through to delivery
  • Must be located in commutable distance to Glyfada, Athens
  • Experience working cross-functionally with builder, architects and suppliers
  • Confident handling project schedules, budget tracking, and coordination meetings
  • Excellent written and verbal communication skills in both Greek and English
  • Strong organizational and multitasking abilities, with a high attention to detail
  • Analytical thinking for quote comparison, contract review, and risk identification
  • Proficiency in Microsoft Office (Word, Excel, Outlook), as well as project management and document control tools
  • Self-motivated, independent, and solution-oriented with a collaborative attitude
