Job Description
Scorpios is seeking a hands-on, design-savvy, and globally minded FF&E Procurement Agent to support our high-end hospitality development projects across different departments: beach clubs, restaurants & bars, rooms, and wellness spaces. This role is instrumental in sourcing, negotiating, and coordinating all FF&E-related needs to bring Scorpios' design vision to life across existing and upcoming destinations (across all locations).
As Scorpios expands globally, the successful candidate will help build and refine procurement processes while maintaining a deep commitment to craftsmanship, sustainability, and design integrity, together with operations and development Scorpios teams.

Responsibilities
- Source FF&E items globally, including both bespoke and off-the-shelf solutions, aligned with each project's concept and design vision
- Build and maintain strong vendor and artisan relationships across diverse sourcing markets (Europe, Latin America, Middle East, etc.) as per Scorpios business needs and locations
- Manage the full procurement lifecycle: from request for quotation and sample approvals to order placement, logistics coordination, and delivery – in alignment with local teams
- Negotiate pricing, lead times, payment terms, and value engineering options where necessary
- Prepare and maintain procurement schedules and ensure alignment with overall project timelines
- Collaborate closely with interior designers, architects, and project managers to ensure items reflect technical and aesthetic specifications, for all Scorpios locations
- Oversee shipping, customs clearance, warehousing, and installation logistics across multiple regions
- Conduct on-site visits during key project phases to oversee FF&E installation, verify quality, and address last-minute changes
- Establish standardized processes and procedures for supplier audits and quality assurance to maintain consistency across all items sourced.
- Create supplier performance dashboards and post-project procurement reports to support future design and sourcing decision.
- Maintain detailed procurement logs, budgets, and cost tracking reports for scorpios leadership and procurement/development departments.
- Support invoice validation and financial reconciliation with Finance team.
- Ensure that all procured items meet Scorpios' standards for quality, materiality, sustainability, and ethical sourcing.
- Be flexible to adapt responsibilities as per business needs, Scorpios leadership and direct managers requests.
Requirements
- 3–5 years of proven experience in FF&E procurement for luxury hospitality, boutique hotels, F&B, or high-end retail projects
- Strong understanding of interior design principles and material specifications
- Experience working with international suppliers and managing global logistics
- Proficiency in Microsoft Excel, Google Workspace, and procurement tools (e.g., Fohlio, SpecSources, or equivalent)
- Excellent negotiation, communication, and vendor management skills
- High attention to detail, with exceptional organizational and documentation capabilities
- Ability to manage multiple projects in fast-paced environments with shifting priorities
- Willingness and ability to travel frequently for sourcing, quality control, and on-site installation oversight
- Ability to read and interpret technical drawings, shop drawings, and architectural plans to ensure procurement aligns with design specifications
- Knowledge of supply chain risk mitigation strategies and supplier compliance tracking
