Role

We are seeking a highly organised Administrative Assistant to support our management team and business operations. This is a full-time, on-site role based at our Athens offices (Gerakas/ Agia Paraskevi). You will handle a variety of administrative, office coordination, and basic business support tasks that keep our teams running smoothly.

Key responsibilities

  • Provide day-to-day secretarial and administrative support to management and employees
  • Support the business operations with scheduling, document preparation, and reporting
  • Draft, proofread, and distribute emails, letters, memos, and forms
  • Welcome guests, coordinate meeting room logistics, and provide general visitor support
  • Plan and monitor shipments with courier services, track deliveries, and resolve issues with providers
  • Procure and maintain office equipment, including photocopiers and printers, and liaise with service vendors
  • Handle supplies, manage supplier relationships, and monitor stock levels
  • Maintain accurate records and filing systems, both digital and physical
  • Cover reception duties when required, including phone and front-desk support

Requirements

  • Bachelor's degree in Business Administration or a related field, or equivalent experience
  • 1 to 3 years of experience in a similar administrative role
  • Strong command of both Greek and English, written and spoken
  • Solid proficiency with Microsoft Office, internet tools, and mainstream social media platforms
  • Excellent organisational skills, high attention to detail, and reliable follow-through

Nice to have

  • Familiarity with travel and event coordination
  • Comfort working with templates, style guides, and simple spreadsheets for tracking
