Role Description

As a member of Zoia team, the Development Procurement Specialist plays a key role in supporting both Procurement and Development functions. The role is responsible for managing the procurement, delivery, and installation of products, equipment, and services across designated categories, ensuring alignment with internal procedures, quality standards, and budgetary goals.

Key Responsibilities

  • Collaborate closely with the Development Department (architects, engineers, designers) to define procurement and delivery strategies procurement and implementation of FF&E and OS&E scopes.
  • Review design deliverables (drawings, specifications, presentations) for accuracy, feasibility, and brand compliance.
  • Ensure design schedules align with renovation timelines and procurement needs, while reviewing shop drawings, submittals, and samples to ensure alignment with design intent and project specifications.
  • Lead procurement efforts including market research, budget analysis, price validation, and supplier negotiations.
  • Monitor and report on project progress related to FF&E, OS&E, and construction materials to all relevant stakeholders.
  • Execute sourcing initiatives across multiple categories, ensuring timely and cost-effective delivery.
  • Prepare and maintain procurement documentation, including purchase orders, payment schedules, and vendor contracts.
  • Coordinate with Development and Accounting teams to manage deposits and final payments throughout the procurement lifecycle.
  • Stay informed about industry trends and regulatory changes affecting procurement and supply chain operations.
  • Conduct site visits to verify design implementation and oversee installation of owner-supplied items.
  • Support resolution of field issues and ensure smooth coordination between contractors, vendors, and internal teams.
  • Participate in punch walks, mock-ups, and inspections as needed.

Preferred Qualifications

  • Degree in Architecture, Interior Design, or a related field.
  • Minimum 3 years of experience in FF&E procurement or project management, preferably in hospitality, interior design, or real estate development.
  • Strong understanding of multi-step sourcing and procurement processes.
  • Experience in real estate / asset management firms, and development projects.
  • Exposure to CapEx planning and value-add investment strategies.
  • Knowledge of hospitality or mixed-use development projects.
  • Fluent in English, with excellent communication and organizational skills.
  • Proficiency in AutoCAD and Microsoft Office Suite, especially Excel.
