Overall Purpose of The Job
- The Critical Spares Service Desk Operator is responsible for managing the end-to-end coordination of urgent spare parts required for vessels across the fleet. Embedded within a fast-paced maritime environment, the role ensures minimal vessel downtime by facilitating timely sourcing, dispatch, and tracking of critical components essential for safe and compliant operations.
Key Responsibilities and Tasks
Service Desk Operations
- Serve as the primary contact for vessel crews, superintendents, and technical teams regarding critical spares.
- Monitor inventory through ShipSure, V.Ships proprietary ERP system, ensuring accurate prioritization based on vessel schedules and operational impact.
- Track open cases and escalate delays or supply chain risks to relevant stakeholders.
Spares Coordination
- Liaise with approved maritime suppliers and OEMs to build framework supply routes for identified spares for critical components including engine parts, navigation systems and safety equipment.
- Coordinate logistics for global delivery, including customs clearance, freight forwarding, and port agent communication.
- Track shipments and ensure timely delivery to vessels in port or offshore locations.
Inventory & Procurement Support
- Maintain visibility of critical spares inventory across warehouses and bonded stores.
- Support Procurement teams with lead time analysis and supplier performance data.
- Assist in forecasting and replenishment planning for high-turnover or mission-critical items.
Compliance & Documentation
- Ensure all transactions comply with maritime regulations, classification society requirements, and company procurement policies.
- Maintain accurate records of part numbers, serials, certificates, and delivery documentation.
- Support audits and inspections by providing traceable documentation for critical spares.
HSSEQ Excellence
- Continually providing strong, visible, and proactive examples of HSSEQ leadership
- Promotion of a transparent & value-adding Procurement culture across the Group
- Promotion of outstanding operational standards of excellence, especially to colleagues, customers & external stakeholders
- Acting as change agent for the continual improvement of the Group's service delivery performances

Essential
- Experience in maritime logistics, technical procurement, or vessel operations support.
- Familiarity with marine spare parts, vessel systems, and international shipping regulations.
- Strong coordination and communication skills, especially under time-sensitive conditions.
- Ability to work flexibly across time zones and manage multiple concurrent requests.
Desirable
- Knowledge of Incoterms, HS codes, and maritime customs procedures.
- Understanding of vessel maintenance cycles and dry-docking requirements.
- Experience working with port agents, freight forwarders, and marine suppliers.
- Analytical mindset with attention to detail and service excellence.
