About the Role
For our partner we are looking for a
highly organized and resourceful Office Administrator
to ensure the smooth day-to-day operations of our Thessaloniki office.
The ideal candidate brings
3+ years of experience
in an administrative function — preferably as an
Office Manager, Receptionist, or Administrative Coordinator
— and is eager to support a fast-growing
FinTech SaaS
company. This role is perfect for someone who enjoys keeping things running efficiently, supporting both leadership and teams, and maintaining a professional, welcoming workplace.
Key Responsibilities
Office & Administrative Support
- Oversee daily office operations and serve as the primary point of contact for all administrative needs.
- Manage office supplies, equipment, and vendor relationships.
- Handle correspondence, scheduling, and coordination of meetings and company events.
- Support onboarding logistics for new hires (workspace, access, welcome packs).
- Ensure a clean, safe, and well-organized office environment.
Documentation & Coordination
- Maintain and update office records, contracts, and documentation.
- Coordinate travel arrangements, expense reporting, and bookings for employees and management.
- Liaise with external partners (payroll providers, legal advisors, facility managers).
Team & Culture Support
- Assist in organizing company events, workshops, and team-building activities.
- Act as the go-to person for general inquiries from staff and visitors.
- Support HR or Finance teams with basic administrative tasks as needed.
Requirements
- 3+ years of experience
in an
Office Administration, Office Management, or Receptionist
role. - Strong organizational and multitasking skills with a hands-on approach to problem-solving.
- Excellent communication and interpersonal skills in
Greek and English
. - Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with collaboration tools (e.g., Slack, Teams, Google Workspace).
- Professional, reliable, and able to handle confidential information with discretion.
- Experience in a
tech or fast-growing company
is a strong plus.
