Human Resources Coordinator

We are looking for a Human Resources Coordinator to join the Human Resources team at St. Catherine's British School. The successful candidate will be responsible for the administration of all areas of Human Resources for the school. The person appointed will possess excellent interpersonal, communication, collaboration, and organisational skills. The successful candidate will also be proficient in both Greek and English. Finally, a high degree of computer competence is a prerequisite for the role.

St. Catherine's is a leading independent British international school that teaches 1400 pupils from 3 to 18 years of age. The school is a member of HMC, COBIS, and is an IBO world school. It teaches the EYFS curriculum and the National Curriculum for England and Wales, as well as IGCSE and the International Baccalaureate Diploma Programme. The school is a dynamic and exciting community with innovative teaching and learning practice at its core with a strong extra-curricular programme.

Position Overview

Under the direction of the Head of Human Resources, the Human Resources Coordinator plays a key role in supporting the effective delivery of the School's HR function. This position is responsible for the administration, coordination, and day-to-day management of all human resources activities across the School, ensuring processes are efficient, compliant, and aligned with the School's mission and values. The role requires a proactive, highly organized, and detail-oriented individual who can balance multiple priorities while providing exceptional service to staff and stakeholders. The successful candidate will demonstrate excellent interpersonal and communication skills, a strong sense of professionalism, and the highest standards of confidentiality, integrity, and discretion.

Recruitment and Onboarding:

  • Assisting with the recruitment process, including posting vacancies, screening applications, and scheduling interviews.
  • Supporting the onboarding process for new hires, including paperwork, advising on visa application and Greek residence permit processes, orientation, introductions to the school community and tours of the premises.
  • Ensuring all necessary documentation for new international hires is collected in advance of their hiring date and properly filed.
  • Assisting with the pre-employment process for international teachers and liaising with the Ministry of Education for their teaching permit.
  • Managing background checks including criminal record checks, references, right to work and overseas checks and other online checks.
  • Preparing offer letters and employment contracts as needed.
  • Communicating with candidates in a timely manner.

Employee Relations and Support:

  • Serving as a point of contact for employee inquiries regarding HR policies, procedures, and benefits.
  • Assisting with the administration of employee benefits, such as health insurance and retirement plans.
  • Supporting the professional development of staff, including registration and logistics for training programs.

Compliance and Administration:

  • Maintaining accurate and up-to-date employee records, both physical and electronic.
  • Accurate and timely update of the single central record (SCR) in line with the ISI guidelines.
  • Updating HR/Payroll databases, and the any other school platforms, with starters and leavers information, on a regular basis.
  • Ensuring compliance with relevant labour laws and regulations.
  • Assisting with the tracking and notification of mandatory training requirements.

Other Responsibilities:

  • Providing overall administrative support to the HR department.
  • Contributing to the implementation of HR policies and procedures.
  • Participating in HR projects and initiatives as needed.
  • Supporting staff benefit initiatives.
  • Helping to coordinate training sessions and events as needed.
  • Managing HR-related invoices and expenses and uploading them to our purchase order system.

Person Specifications

  • A Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience in HR, particularly in an international setting, is highly desirable.
  • Excellent written and verbal communication skills in both Greek and English are essential, additional languages are considered an asset.
  • Strong communication and interpersonal skills, with proven ability to work both independently and as a valuable team member.
  • A demonstrated record of integrity, reliability, and a positive attitude.
  • The ability to build positive rapport with staff at all levels, with sensitivity to cultural differences, while simultaneously maintaining confidentiality is crucial.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Proficiency in Microsoft Office Suite is essential, experience with HRIS (Human Resources Information Systems) is a plus.
  • Knowledge of employment laws and regulations, particularly those relevant to international schools, is desirable.
  • The ability to identify issues and escalate them through the proper channels.
  • A strong attention to detail with a commitment to accuracy and high-quality work.
  • The ability to approach challenges with proactive problem-solving skills and a solutions-focused mindset.
  • The flexibility to adapt effectively in a fast-paced and changing environment.
