Role Description

We're looking for an Events Associate who's passionate about detail, thrives in a fast-paced agency environment, and loves working collaboratively to deliver exceptional results for our clients.

This is a full-time hybrid role for an Events Associate based in Athens, with some work-from-home flexibility.

Responsibilities

  • Be the main point of contact for client communications, ensuring clear, professional, and timely interactions.
  • Coordinate procurement of products and services (catering, A/V, venue, décor) with trusted vendors, suppliers, and venue partners.
  • Project manage events end-to-end — from planning and logistics to on-site execution and follow-up.
  • Prepare and curate press kits and guest gifts that reflect brand identity and event themes
  • Support the on-site setup, registration, and breakdown for events, serving as a key point of contact to ensure a smooth attendee and vendor experience. This may require occasional travel and non-traditional working hours.
  • Collaborate with external partners to contribute to promotional materials, social media updates, and email campaigns designed to drive event attendance.
  • Manage and track attendee registration, handle event-related inquiries, and coordinate communication to attendees pre- and post-event.
  • Prepare and deliver polished client presentations and proposals using PowerPoint and other creative tools.
  • Help track event budgets, process invoices, manage expenses, and maintain organized documentation for all event projects.
  • Conduct research on new venues and potential vendors to ensure all events are innovative and cost-effective.
  • Assist with post-event evaluations, gathering feedback, compiling reports on key metrics (attendance, engagement), and identifying areas for improvement.
  • Contribute to brainstorming sessions for event concepts, themes, and activations
  • Manage inventory and sourcing for event materials, swag, and branded collateral

Qualifications

  • Bachelor's degree in Marketing, Communications, or a related field.
  • 3-5 years of experience in an agency environment in event planning, coordination, or a related role
  • Exceptional organizational skills, with a proven ability to manage multiple projects simultaneously, meet tight deadlines, and maintain meticulous attention to detail.
  • Excellent verbal and written communication skills; comfortable liaising with internal stakeholders, vendors, and clients.
  • A proactive, "can-do" attitude with the ability to troubleshoot issues calmly and effectively during an event.
  • Creative mindset with a passion for elevating guest experiences
  • Proficiency in Microsoft Excel and PowerPoint; familiarity with project management tools is a plus.
  • Ability to work collaboratively within a team and independently, taking ownership of assigned tasks.
