This is a contract or projet based job opening. We're seeking a visionary Conference Producer to lead the creation and execution of highly technical AI-oriented summits. This role blends strategic planning, content curation, speaker engagement, and seamless on-site execution—ensuring transformative experiences for AI professionals, product leaders, and technologists alike.
Key Responsibilities
Event Coordination
- Support the planning, organization, and delivery of physical, virtual, and hybrid events.
- Assist with conference registration and maintain communication with participants.
- Coordinate logistics such as venues, catering, audiovisuals, travel, and accommodation.
- Manage the preparation and distribution of event materials (agendas, brochures, name badges, delegate packs, presentations).
- Support the creation and maintenance of event timelines and schedules.
- Assist in the coordination of speakers, presenters, and moderators.
- Provide on-site assistance during events, including set-up, registrations, participant inquiries, and smooth session flow.
Agenda & Speakers Coordination
- Define summit themes and learning tracks (e.g. Agentic AI, GenAI architecture, AI governance, RAG/KAG, security).
- Build a structured agenda featuring a mix of keynotes, deep dives, workshops, technical panels, breakout sessions, and networking slots.
- Scout and secure expert speakers from industry (CTOs, AI leaders, product managers).
- Shape speaker content, session descriptions (such as hands-on workshops, interactive training modules, and lecture-based keynotes) and learning outcomes aligned with target audience needs.
- Manage speaker logistics, timelines, and rehearsal schedules to ensure readiness and quality.
Communication & Stakeholder Management
- Act as the first point of contact for speakers, and partners.
- Handle email and phone communication with delegates, sponsors, and vendors.
- Liaise with vendors, and sponsors to ensure all requirements are met.
- Support the preparation of promotional materials, newsletters, and event announcements.
- Collect and summarize participant feedback and assist in post-event reporting.
Qualifications & Skills
- Bachelor's degree in Business Administration, Event Management, or related field.
- 1–3 years of experience in event coordination, training administration, or office administration.
- Strong organizational skills with excellent attention to detail.
- Ability to multitask and manage deadlines in a fast-paced environment.
- Strong written and verbal communication skills (English and [local language]).
- Proficiency in MS Office Suite, Google Workspace, and event management platforms (e.g., Eventbrite, Cvent).
- Familiarity with online collaboration and webinar tools (Zoom, Teams, Hopin, etc.).

- Ability to work independently and collaboratively in a team.
- Flexibility to support occasional evening or weekend events.
