Position Overview
The Project Manager will support the planning, implementation, and monitoring of project activities under the guidance of the COO. The role requires excellent organisational, communication, and multitasking skills.
Main Responsibilities
Project Planning and Coordination:
- Develop and implement work plans, ensuring alignment with donor requirements and organisational goals
- Develop and maintain the project timeline, ensuring the timely delivery of all project components.
- Coordinate closely with the functional leads - Academy Manager & Employability Manager - as well as other stakeholders/partners to ensure the successful implementation of all project activities.
Monitoring and Reporting
- Track progress of each project by developing and monitoring KPIs, collecting data, and preparing regular updates, reports, and evaluations for internal use and donor compliance
- Monitor financial reporting, track expenditures, and ensure compliance with donor requirements, providing regular budget updates and financial reports to stakeholders.
- Update project documentation, including reports, action plans, ensuring transparency and accountability.
Team Leadership and Supervision
- Conduct regular team meetings with the implementation team to review progress, address challenges, and discuss improvements.
- Coordinate cross-functional teams, local partners, and stakeholders to ensure projects are delivered on time, within scope, and on budget.
Stakeholder Communication and Reporting
- Build and maintain effective relationships with community partners, donors, and other stakeholders to support project success.
Risk & Issue Management
- Proactively identify risks and issues across projects, and develop mitigation strategies to keep deliverables on track.
Periodic Responsibilities
- Conduct ad-hoc data analyses and provide insights to support project planning and decision-making
- Periodically assess the allocation and usage of project resources to ensure adherence to approved budgets.
- Foster and maintain relationships with local partners and stakeholders to sustain community engagement and expand project impact.
- Represent the organization at relevant events and provide operational support for Odyssea initiatives as needed.
Education
Required Qualifications & Skills:
- Bachelor's degree in Project Management, Business, Education, Social Sciences, or a related field. Master's degree is a plus.
Experience
- At least 5 years of experience in project management, preferably in the NGO or nonprofit sector.
- Experience in managing educational programs, especially those tailored to marginalized populations.
- Proven experience working in multicultural environments and with migrant/refugee communities.
Skills
- Strong understanding of project cycle management, including planning, implementation, monitoring, and evaluation.
- Strong leadership and team management skills.
- Excellent organizational, problem-solving, and communication skills.
- Ability to work independently, with strong decision-making abilities.
- Proficiency in project management software and tools.
- Familiarity with monitoring and evaluation techniques.
- Strong understanding of gender sensitivity, inclusion, and diversity principles.
- Fluency in English and Greek; additional languages spoken by migrant communities are a plus.
