We are seeking a detail-oriented professional to support procurement and documentation processes across
EU-funded projects.
This role ensures that procurement steps, documentation, and submission files are accurate, complete, and fully compliant with EU funding rules. You will work closely with internal teams and external partners to coordinate procedures, gather required materials, and maintain traceable records throughout the project lifecycle.

Skills & Qualifications

  • Minimum 5 years of experience
    working on EU-funded projects in an administrative, coordination, procurement, or compliance-related role.
  • Experience working with EU-funded programmes. (Horizon Europe, Interreg, LIFE, Digital Europe Programme)
  • Understanding of EU procurement rules, tender procedures, thresholds, and cost eligibility requirements.
  • Ability to prepare, review, and finalise documentation packages, forms, and annexes in line with call and programme requirements
    .
  • Strong organizational and record-keeping skills, especially related to audit traceability and compliance.
  • Comfort working with multi-country partnerships and public or non-profit institutions.
  • Excellent written and spoken English.
    Additional languages are an asset.

Responsibilities

  • Coordinate and implement procurement steps in accordance with EU financial and compliance rules.
  • Prepare calls for quotations, tender files, supplier evaluations, justification notes, and award documentation.
  • Compile and validate project submission files, ensuring all required elements are present and compliant.
  • Maintain structured documentation and evidence for audit and reporting.
  • Communicate with project partners and suppliers to collect required documents and clarify procedural questions.
  • Track deadlines and documentation status to ensure timely submissions and process completion.
  • Apply updates from EU programme guidelines and funding regulations to ongoing work.

Nice to Have

  • Experience engaging with public authorities, research organizations, NGOs, law enforcement, or cross-border cooperation networks.
  • Familiarity with project budgeting, cost reporting, or financial justification processes.
