Requirements
- A minimum of 2 years of experience in a similar role, supporting high-level managers or executives
- A degree in business administration or a related field is preferred
- Exceptional organization and time management skills, with the ability to multitask
- Strong communication skills, both verbal and written, in English; additional languages are a plus
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software
- A proactive attitude with a willingness to take initiative and work independently
- Trustworthiness, reliability, and integrity are essential to this role
- Ability to thrive in a fast-paced and changing environment
- A positive, can-do attitude and a genuine interest in supporting the team
Key Responsibilities
Reception
- Handling the company's correspondence and telephone calls
- Welcoming and assisting visitors and partners, ensuring a professional image of the company
- Managing employee requests and directing information to the relevant departments
Meetings
- Scheduling and coordinating meetings (both internal and external)
- Managing room bookings and ensuring proper setup and functionality of meeting spaces
- Managing the CEO's calendar and agenda, ensuring all appointments and meetings are scheduled efficiently
Office Management
- Monitoring employees' daily attendance and absences (remote work, leave, sick days)
- Managing office supplies and equipment (stationery, kitchen supplies, first aid kit, etc.)
- Handling orders and deliveries for the company's needs
- Managing external partners and suppliers related to office operations (e.g., cleaning services, technical support)
PA Duties
- Assisting in managing the CEO's appointments
- Coordinating travel and accommodation arrangements for the CEO and executive team
- Handling sensitive information with strict confidentiality
- Providing support with personal tasks related to the CEO and his activities
