The Mission is to achieve maximum performance of the Groups & Events department by overlooking procedures followed and department standards respecting hotel guests, associates and department team members. Promote hotel services and overall guest satisfaction internal and external. To demonstrate an awareness for the most important company mission which is the guests overall experience by creating opportunities, giving feedback where is needed and reward team members. Being responsible for the information shared in the hotel department regarding forecast, budget and overall department productivity.

Responsibilities:

  • Serve as the primary point of contact for all MICE and group event enquiries
  • Plan, organize, and oversee the execution of events from pre-arrival to completion
  • Develop the Weddings segment under Events and establish W Costa Navarino and Navarino Hills as a preferred wedding destination
  • In cooperation with the Director of Operations, take the initiative in creating golf packages, tournaments, or incentive experiences that align with the W Hotel Brand Standards and offerings
  • Assume complete responsibility for learning from initial orientation and training programs conducted when joining the Groups & Events team
  • Prepare all typed materials (proposals, Mice contracts, Commission agreements, banquet event orders, change forms and all other inter-departmental forms) accurately and thoroughly
  • Conducts site inspections for large groups or events
  • Acts as liaison between Cluster sales team and Groups & Events team, sharing important information that might affect hotel availability or operations challenges
  • Solicit feedback from the group organizers but also from the hotel departments to identify areas for improvement to enhance the G&E guests' experience
  • Communicate necessary information during meetings and focus on continuous improvement
  • Take the initiative to use his/her experience to improve service performance according to his/her evaluation of the issue and resolution
  • Organize weekly roster according to operational needs and company objectives and perform all HR admin tasks (Scan,Leaves, DRs etc) accurately and in a timely manner
  • Follow all H&S rules, hotel policies, SOPs and Brand Standards at all times. Provide Guidance and encourage teams to do the same
  • Attend all training courses and seminars provided by the company and continuously remain updated for all trends and market news. Encourage and empower team to do the same

Requirements

  • Graduate Degree (MA/MSc)
  • 4 years in a supervisory role within travel, tourism, or hotel services (mandatory)
  • 2 years in Groups & Events Management (preferred)
  • Golf event experience (preferred)
  • Strong organizational, administrative, and multitasking abilities
  • Guest-oriented with proactive service mindset
  • Proficient in MS Office, Opera PMS, Fidelio
  • Budgeting and forecasting skills
  • Leadership, coaching, and delegation
  • Strong interpersonal and communication skills
  • Comfortable in fast-paced, complex environments
  • Detail-oriented, solution-focused, and creative thinker
