Position Overview

The HR & GA Assistant plays a critical role in supporting the smooth and efficient daily operations of the office while delivering high-quality front-desk services and essential administrative and technical support. This hybrid position serves as a central coordination point across multiple departments ensuring a well-organized, secure, and technologically functional workplace.

In the context of a fast-paced global shipping and logistics environment, the role contributes directly to business continuity, employee experience, and operational effectiveness through reliable reception management, precise HR administration, and proactive General Affairs support.

Key Responsibilities :

Human Resources Affairs & Office Operations

  • Manage the procurement and inventory control of office supplies, printing materials, and operational consumables to ensure seamless day-to-day business continuity.
  • Support the end-to-end onboarding process for new employees, including workstation setup, access card issuance, system/account provisioning, and coordination with internal stakeholders.
  • Assist in Health & Safety implementation, covering emergency drill planning, compliance documentation, and adherence to corporate safety standards.
  • Handle HR administrative processes, such as maintaining employee records,
  • preparing HR documentation (contracts, amendments, certificates), monitoring attendance/leave data, and ensuring accurate, up-to-date HR files.

Reception & Front Desk Management

  • Greet and assist visitors, agents, customers, and suppliers in a professional manner.
  • Manage incoming calls and emails, ensuring effective routing to Operations, Customer Service, Documentation, Sales, etc.
  • Coordinate visitor access in compliance with company procedures and maritime security standards.

Basic IT Coordination

  • Act as the first point of contact for basic IT-related issues within the office.
  • Set up and maintain office equipment (PCs, monitors, printers, scanners, headsets).

Skills & Competenc

  • Basic IT knowledge (Google Workspace, hardware setup, troubleshooting).
  • Strong communication skills
  • Customer centric mindset.
  • Ability to work in a fast-paced shipping/logistics environment.
  • Excellent organizational and multitasking abilities.
  • High level of professionalism, confidentiality, and attention to detail.

Qualifications

  • Degree in Business Administration, Shipping, Logistics, preferred.
  • Prior experience in General Affairs, Reception - ideally in the shipping or logistics industry.
  • Fluency in Greek and English is essential; additional languages are an advantage.
