Position: Secretary / PA / Business Operations Officer

We are looking for an organized and proactive
Secretary / PA / Business Operations Officer
to support our management and ensure smooth day-to-day operations, including accounting. The ideal candidate will manage administrative tasks, have some accounting background, schedule meetings and travel, follow up on internal processes, and act as a liaison between departments. This role requires strong professionalism, discretion, and excellent organizational skills.

Key Responsibilities

  • Provide administrative and accounting support (where necessary) to company leadership and senior staff
  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Organize and maintain digital and physical filing systems
  • Assist in tracking projects, offers, and contracts
  • Coordinate communication between departments and with external partners
  • Monitor orders, invoicing, and administrative processes
  • Support procurement and office supply management
  • Assist in internal audits and prepare reports and documentation
  • Handle phone and email correspondence with clients and collaborators.

Qualifications & Skills

Education & Background

  • Degree in Business Administration, Secretarial Studies, Social Sciences, or related field
  • Familiarity with office administration and project coordination
  • Knowledge of quality systems and certification standards (e.g., ISO 9001 – desirable)
  • Basic understanding of financial/admin processes (e.g., invoicing, contracts)

Professional Experience

  • 5–7 years proven experience in secretarial or administrative roles
  • Experience managing schedules, communication, and documentation
  • Background in internal coordination and project support
  • Corporate experience in dynamic teams is a plus

Communication & Organization

  • Excellent verbal and written communication skills
  • Professional handling of internal and external communications
  • High attention to detail and strong organizational abilities
  • Ability to multitask and manage priorities under pressure
  • Integrity and discretion with sensitive information

Language & Digital Proficiency

  • Fluency in Greek and English, especially in professional settings
  • Strong command of MS Office (Word, Excel, Outlook, PowerPoint)
  • Familiarity with CRM, ERP, or project management tools (e.g., Trello, Asana – a plus)
  • Skilled in preparing documents, reports, minutes, and presentations

Availability & Flexibility

  • Driver's license, with a car and ability to travel when required
  • Willingness to attend meetings, events, or internal trainings
  • Adaptability in a fast-paced and evolving work environment.
