Back Office Employee

We are seeking a highly organized and reliable Back Office Employee to support the administrative and operational needs of our growing construction projects. Based in either the Attica Region or Northern Greece. This position plays a key role in ensuring smooth documentation, coordination, and internal communication across departments and project teams.
Role Overview
The Back Office Employee will provide day-to-day administrative support to the project and site management teams, helping maintain accurate records, track documentation, and facilitate internal workflows. This role is vital to ensure operational continuity and compliance with project and company standards.
Key Responsibilities
- Handle general administrative tasks, including document preparation, filing, scanning, and archiving.
- Support the preparation and coordination of reports, forms, and correspondence related to project activities.
- Maintain accurate records of contracts, supplier documentation, timesheets, delivery notes, and purchase orders.
- Assist in the management of procurement and logistics documents in coordination with relevant departments.
- Monitor and update internal databases and spreadsheets related to project progress and inventory.
- Liaise with site teams and suppliers to ensure proper documentation flow and follow-up.
- Support travel arrangements, meeting scheduling, and internal communication.
- Assist in the preparation of compliance documentation for audits, inspections, and internal reviews.
- Ensure all administrative processes are in line with internal policies and regulatory requirements.
- Provide ad-hoc support to project management and finance teams when needed.
Requirements
Professional Experience
- Minimum of 2–4 years of experience in an administrative, back office, or project support role.
- Prior experience in construction, engineering, or industrial environments will be considered an asset.
Academic Background & Qualifications
- Vocational training or Bachelor's degree in Business Administration, Office Management, or a related field.
- Familiarity with document control and ERP systems will be an advantage.
Languages & Technical Capabilities
- Fluent in Greek and English (written and spoken).
- Additional knowledge of Italian will be an advantage.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Comfortable working with digital document systems and cloud-based platforms.
